A Planned Project is an upgrade or new feature we are creating for one of our sites. A Planned Project can start only after a Strategist writes a Project Plan which is then approved by the client.

<aside> ☝ Within Core Coverage we also provide hours for maintenance work. We do not consider these “Projects” and those fall outside of the scope of this service.

🏅 Principles

• Think of Everything. Be thorough and make sure plans are truly thought through before we start. Rushing too fast has caused many problems over the years.
• Connect to Value. Ensure that whatever plans we make will deliver some real value to the client. Maximize this value and try to measure it in the future to assess the impact of the project.

• Create a Project Plan for every Planned Project
• Use a Planned Project for any initiative more than 4 hours

🚫 Don’t…

• Put site documentation or other content into a Project Plan. Keep it to the standard format.

After the plan is approved, the Project Manager should translate the plan into an Asana project complete with individual tasks ready to go on the Big Board, like so:

This project in Asana uses sections to separate the phases of the project. The full schedule is outlined in advance. Tasks can be pulled into the Big Board on a rolling basis by the PM as the project schedule progresses.

You can use the Project Manager GPT to understand what tasks make sense for any given project plan. Upload a PDF of the project plan and ask the GPT to make Cantilever-style tasks, then review and edit those towards completion.
