Director of Operations

Overview

The Director of Operations oversees the day-to-day running of the company. They are focused on making sure that everyone has the resources and tools they need to do their jobs well. The Director of Operations oversees Finances, Legal, Studio Management, and People Ops.

Key Responsibilities

Finance

  • Manage employee and contractor payroll. Ty
  • Process all reimbursements for employees and contractors. Ty
  • Ensure compliance with IRS laws as it relates to finances. Ty
  • Reconcile all company accounts (Bank, and Credit Card). Ty
  • Manage all finance platforms (Xero, Gusto)
  • Have a broad overview of client invoices as it relates to company cashflow. Ty
  • Checks in with DRI's to ensure best practices for invoices are implemented. Ty
  • Updating Simple Cash Flow Removed

Legal

  • Ensure insurance for the company is up to date and implemented (Workers Comp, EPLI…) Ty, Nikki will send an email recap
  • Work with company lawyer to ensure document templates are up to date. Ty
  • Advise on legal issues surrounding any new client paperwork, as requested by DRIs Ben w/ Ty Help
  • Create and manage all legal documents for employees and contractors. Hiba w/ Ty Help

Studio Management

  • Manage the account for all software that the company uses for clients and internal use. Hiba w/ Ty Help
  • Ensure Team Members have proper access to platforms. Hiba w/ Ty Help
  • Organize team birthdays and Cantileversaries. Hiba with substantial cuts:
    • No social shoutout
    • Dinner reimbursement (can be ahead of time)
    • Sing on next call
    • Cantileversary goes on social and we reimburse through Xero
  • Act as primary owner of the employee handbook. Ensure processes and procedures are documented by relevant team members. Ty
  • Review overdue tasks in basecamp across the whole company to ensure items are re-negotiated or checked off when completed. Shared Responsibility (DRIs)

People Ops

  • Managing hiring processes in conjunction with hiring managers Hiba

  • Offboarding Hiba
  • Maintain Medical insurance benefits for employees. Ty
  • Research and implement benefits for employees (Sick, PTO, Bonsus’s). Ty
  • Manage all employee and contractor paperwork as it relates to benefits. Ty
