In order to keep our Hubspot account up to date, a specific individual should serve as the Hubspot Manager.

Rituals
The Hubspot Manager is in charge of completing the following rituals:
Daily
- [ ] Throughout the day (at least once per day), go through the Inbox. Go through the âUnassignedâ list.
- If something is clearly spam, click âBlock Senderâ and then click âBlock and Delete Contactâ.

â Note: This is only necessary because Hubspot automatically creates a contact for anyone who emails us or fills out a form. This means that spammers automatically get a contact, and this is the fastest way to delete them as they come in. This is a big flaw with Hubspot that we hope is fixed soon!

- If you can address the inquiry, assign yourself and reply.
- If a message requires attention but you donât know how to answer it, assign it to the person you think best to handle it. If you are unsure, assign to @Ty Fujimura.
- [ ] Throughout the day, review your assigned messages and communicate with the senders. Take whatever actions are necessary. When the conversation is over, close it in Hubspot.
Monthly
- [ ] Go through the list of Companies and delete companies which are no longer relevant.
- [ ] Review the conversations inbox for any messages that might have gotten missed during the month. Make sure the inbox is clear and that only true inquiries are remaining, assigned to the relevant person.
- [ ] Review the list of Contacts for contacts created in the last month. Make sure that they follow our standards for Hubspot Contacts.
- [ ] Go through the âSpamâ list in the inbox. Validate that it only contains spam, then permanently delete all the spam.
