Every client has a single

. Inevitably, we will need to make changes to that battery at some point. This can happen due to changes in the project itself, changes in staff availability, or simply preference and personality.

Changing Project Managers

When swapping PMs, make sure:

The asana project is updated to show the new PM on the Overview page, and the PM is the “Project Owner”

The new PM and old PM have met and discussed the current status of the project, ideally with the strategist present
The new PM is tagged as assignee on all rituals and processes related to the project, such as the weekly process and weekly planning process
All upcoming meeting invites/zoom links have been transferred to the new PM’s calendar
The new PM has reviewed the project in full and is comfortable accepting responsibility for all the PM duties when it comes to the project
The new PM has reviewed all active paperwork associated with the project
The new PM has reviewed all active Harvest projects and invoices associated with the project
The new PM is fully onboarded to all of the project systems, such as Harvest, Asana, and any client-specific systems
The new PM has reviewed any relevant Project and Site Documentation
The client has been informed who the new PM is and who they should now be copying on emails (The current PM and Strategist)

Changing Strategists

The new strategist and old strategist have met to review the status of the account and discuss any important priorities, ideally with the PM present
The strategist has reviewed and is familiar with all of the items in the project backlog
The client has been informed of the change in strategist, and knows who to now contact for work (the new strategist and PM)
The new Strategist has reviewed all active paperwork associated with the project
The new Strategist has reviewed all active Harvest projects and invoices associated with the project
The new Strategist is fully onboarded to all of the project systems, such as Harvest, Asana, and any client-specific systems
The new Strategist has reviewed any relevant Project and Site Documentation
The new strategist has had a call with the client to get to know them and catch up on their priorities and needs
